Information Sharing & Disclosure Policy

1. Overview

KJ Counselling Services is committed to maintaining confidentiality and protecting personal and clinical information.

This page outlines the circumstances under which information may be shared, in accordance with professional ethical standards and Canadian privacy legislation.

2. Clinical Confidentiality

All counselling services are delivered by licensed and registered mental health professionals.

Information shared within therapy sessions is confidential and protected by professional standards and applicable privacy laws.

Clinical information is not shared without client consent, except where required or permitted by law.

3. Circumstances Where Information May Be Shared Without Consent

Confidentiality may be limited in the following situations:

  • Risk of serious harm to self or others

  • Suspected abuse or neglect of a child, elder, or vulnerable person

  • Court order, subpoena, or legal requirement

  • Regulatory reporting obligations

In such cases, only the minimum necessary information will be disclosed.

4. Internal Information Sharing

Limited information may be shared internally within KJ Counselling Services for:

  • Clinical matching and coordination

  • Administrative scheduling

  • Billing and service management

Internal sharing is conducted on a need-to-know basis and in accordance with confidentiality standards.

5. Corporate Programs

For corporate mental health services:

  • Individual employee counselling remains confidential

  • No personal clinical details are shared with employers

  • Organizational reports, where applicable, are aggregated and anonymized

Employers receive only program-level information unless explicit written consent is provided by the individual.

6. Written Consent for Disclosure

Information may be shared with third parties only when:

  • The client provides written authorization

  • The scope and purpose of disclosure are clearly defined

Clients may revoke consent in writing at any time, subject to legal limitations.

7. Third-Party Service Providers

KJ Counselling Services may use secure third-party platforms for:

  • Scheduling

  • Payment processing

  • Secure clinical documentation

These providers are selected for compliance with applicable privacy and security standards.
