Information Sharing & Disclosure Policy

1. Overview

KJ Counselling Services is committed to maintaining the confidentiality, integrity, and security of all personal and clinical information.

This policy outlines the limited circumstances under which information may be shared, in accordance with professional ethical standards and Canadian privacy legislation.

2. Clinical Confidentiality

All counselling services are delivered by licensed and registered mental health professionals.

Information shared during therapy is confidential and protected by professional standards and applicable privacy laws.

Client information is not disclosed without consent, except where required or permitted by law.

3. Limits to Confidentiality

There are specific situations where confidentiality may be limited.

Information may be disclosed without consent when:

  • There is a risk of serious harm to the client or others

  • There is suspected abuse or neglect of a child, elder, or vulnerable person

  • Disclosure is required by court order, subpoena, or legal obligation

  • Regulatory reporting requirements apply

In all cases, only the minimum necessary information is disclosed.

4. Internal Information Sharing

Limited information may be shared internally within KJ Counselling Services to support service delivery, including:

  • Clinical matching and coordination

  • Scheduling and administrative support

  • Billing and service management

All internal sharing is conducted on a strict need-to-know basis and in accordance with confidentiality standards.

5. Corporate Wellness Services

For corporate programs:

  • Individual counselling remains strictly confidential

  • No personal clinical information is shared with employers

  • Organizational reporting, where applicable, is aggregated and anonymized

Employers receive only program-level insights, unless explicit written consent is provided by the individual.

6. Consent for Disclosure

Information may be shared with third parties only when:

  • The client provides written authorization

  • The purpose and scope of disclosure are clearly defined

Clients may withdraw consent in writing at any time, subject to legal or regulatory limitations.

7. Third-Party Service Providers

KJ Counselling Services may use secure third-party platforms for:

  • Scheduling

  • Payment processing

  • Secure clinical record management

All providers are selected based on compliance with recognized privacy and security standards.
